Setting up EPS in an EMIS Hub

This topic covers all the steps to set up EPS in an EMIS Web Clinical Hub using EMIS Web Clinical Services.  This will enable PCNs, GP Federations to complete Electronic Prescriptions for patients to their nominated Pharmacy.

EPS for Clinical Services

Emis will need to include EPS for Clinical Services when they set up the Hub.  This can be requested at a later date.

There is no mechanism in Emis to know if EPS has been enabled.  You will have to contact EMIS to find out.


Request organisation Prescribing Cost Centre Code


Configure EMIS Organisation

Organisations must have a Prescribing Cost Centre Code.  These usually start with the letter Y and are followed by 5 digits.  A Spurious code for Prescribing GPs will also be required.


STEP 1: The Integrated Care Board (ICB) need to complete a New Cost Centre proforma to inform the NHSBSA that a new service has been set up. Access the form here.


STEP 2: Complete and send the spurious code request form (omitting the cost centre code field only). Please access the form here.


When filling in the form, please select ‘Generic spurious code for a new/existing cost centre/practice’.


A cost centre can only be set up on NHS Prescription Services’ systems if either a named doctor, a generically named spurious code or one or more non-medical prescribers are also added to the new cost centre at the same time.


STEP 3: All completed forms should be returned via email to: nhsbsa.prescriptioninformation@nhs.net 


If the NHSBSA needs to query the information submitted, they will send an email to the original sender of the notification.

When EMIS Clinical Services is ready, create a new System Administrator Account (Emis will provide a generic account). Populate both National Code and Authentication NACS with the new Prescribing Cost Centre Code (Yxxxxx). Inform EMIS.


EMIS will have to request NHSD to add the Prescribing Codes to their EPS list, which is normally a quick process but enables EMIS to then request end points.


Also make sure a Main Address and Telephone Number have been entered in the Location Details otherwise EPS will not work.



Registration Authority – Create RBAC Positions

Work with Registration Authority to create new Smartcard Role for GPs against the new Y Code Organisation Code based on the National RBAC position below. Ask RA to set up Sponsors for PCN/GP Federation.

Obtain Spine Dummy Patients from NHD

Spine Dummy Patients are great for testing Spine services such as EPS.  Spine Dummy Patients can be obtained from NHS Digital by emailing – testdata@nhs.net.  Spine Dummy Patients can then registered at a sharing GP Practice (as you do with a real patient) and then traced into the Clinical Hub for testing. Alternatively they can be registered directly on the hub.


Set up GP Accounts

Set up GP accounts in Emis.  However make sure the Spurious Code is entered in their account details:

To find a Prescribing Cost Centre code and an associated Spurious code visit the ODS Portal.  You can search by Name or the Y Code (if trying to find the Spurious Code).  By expanding the General Medical Practitioner section you will see the associated Spurious Code (if requested).  In the Clinical Systems remove the first letter and last digit - so the Spurious code below is 688862


Remote Consultations

Some organisations may be using Emis Web Clinical Services as a central appointment repository and using Remote Consultations for Consultations.  However when using Remote Consultations there are no Spine services available so an EPS is not possible.  The solution is to complete the EPS back in Clinical Services and set up an Emis QF1091 One to Many EMIS Web Care Record Sharing Agreement so the GP Practice will be able to see the EPS when they select All Records > Medication in their own EMIS system.
